Job Summary:

As a Office Coordinator with Minnesota Hospice your primary responsibilities will include answering incoming phone calls, administrative tasks and assisting with projects company wide.

 

Supervisory Responsibilities:

  • None

 

Duties/Responsibilities:

  • Primarily responsible for answering incoming phone calls and routing appropriately
  • Retrieve all incoming faxes and deliver to the intended recipient
  • Order all employee badges
  • Send out daily PTO coverage communication via All Staff
  • Print the caseload report for Monday leadership meetings
  • Complete supply ordering as it relates to Amazon and office supplies
  • Set up technology for new hires
  • Assist in technology troubleshooting as required for staff support
  • Serve as an administrator for the Verizon phone system
  • Receive and distribute incoming mail
  • Serve as an active participant in weekly marketing and social media meetings
  • Process all incoming checks for the Minnesota Hospice Foundation and send cooresponding donor thank you cards
  • Manage the “Living Healthy and Aging Well” radio show calendar
  • Assist in upkeep of the office environment
  • Assist department directors with projects on an as needed basis
  • Assist in employee data management in coordination with the Director of Human Resources

 

Required Skills/Abilities:

  • Knowledge of appropriate HIPAA and confidentiality
  • Able to work as both a part of a team and independently
  • Possesses great organizational Skills
  • Able to communicate effectively
  • Possesses strong verbal and written communication skills
  • Excellent time management skills
  • Knowledge of Microsoft products i.e. Excel, Word, etc.

 

Education and Experience:

  • Minimum of a high school diploma; assoicates or bachelor’s degree preferred
  • Minimum of one years administrative experience
  • One year healthcare preferred

 

Physical Requirements:

  • Able to regularly lift and move up to 20lbs
  • Prolonged periods of sitting at a desk typing
